A) Supply Chain Officer: This position is based in Pretoria and provides support to the Office Manager/Training Coordinator in the running of the Office and assisting with all logistics relating to the Medical Male Circumcision DSD and Training Programme across the country as well as the Pretoria Office.  

The Supply Chain Officer will be responsible for the following duties:

1 Procurement:

Assist with identifying potential suppliers and evaluate their suitability.

Maintain a comprehensive supplier database.

Assist with the procurement of materials and goods to meet organizational needs efficiently.

Maintain strong relationships with key suppliers. 

Collaborate with suppliers to negotiate favourable terms and resolve issues.

Continuously evaluate supplier performance and provide constructive feedback. 

Assist with the monitoring and control supply chain costs to align with budget targets.

Identify opportunities for cost reduction while maintaining quality and efficiency.

Conduct cost-benefit analyses and implement cost-saving initiatives.

2 Inventory:

Assist with the maintains of the organisation’s storerooms. 

Assist with maintaining optimal inventory levels to prevent overstocking or shortages.

Assist with maintaining inventory office control procedures and efficient storage methods.

Monitor and analyse inventory turnover and propose improvements.

Ensure inventory expiry dates and records are accurate and up to date.

3 Compliance and Risk:

Ensure compliance with relevant laws, regulations, company SOP’s and guidelines.

Assist with the development and implementing strategies to mitigate risks within the logistics unit.

Maintain proper documentation and records to support compliance efforts.

Requirements include

Degree in Administration, supply chain or relevant qualification qualification. At least 5 years’ experience and successful placement in similar position of a major donor-funded project. Computer literacy (i.e. MS Word, PowerPoint, MS Outlook, Excel) compulsory. Accuracy, confidentiality and coordination skills. Ability to work under pressure and remain meticulous, friendly and courteous. Excellent interpersonal and communication skills. Ability to liaise with a diversity of people at all levels. Ability to use initiative and remain flexible. A highly organised individual. Attention to detail. Ability to multitask. Good time management skills.

Monitoring and Evaluation Support (2):

The successful applicant will support the work of the Monitoring and Evaluation Unit by performing a variety of tasks. These will include capturing data, maintaining and updating database, monitoring and evaluation site visits. The Intern should have strong quantitative, qualitative and analytical skills. Excel spreadsheet and other Ms Office application skills.

Logistics Support (1):

The successful applicant will support the work of the Office Management Unit by performing a variety of tasks. These will include inventory control, regular physical verification of assets, expired inventory items disposed of in a correct manner, fleet management. Excel spreadsheet and other Ms Office application skills necessary.

Further, the successful applicant will support the work of the Training Administration Unit by performing a variety of tasks. These will include: Coordinate with training participants during the courses and ensure that all technical requirements are fulfilled, work with the Office Manager to draw up, maintain and update schedule of trainings, ensure timely availability of training manuals and materials including training stationery, develop and maintain training checklist, review training requests according to checklist, handle enquiries related to training with Support/ Administrative staff, be back-up administrative support to Operations for all logistical matters related to trainings, provide back-up administrative support to the Office Manager, as needed, be available for some trainings to assist with logistics and administration or other non-direct training activities such as Training Anchoring 

Quality Assurance Support (1):

The successful applicant will support the M&E/QA Assistant in data management which include collection and analysing for programme improvement. The focus will on Supporting the Senior M & E and Quality Assurance Manager and Quality Assurance Assistant in the implementation of quality assurance measures developed within the organisation and ensure compliance. The intern will work with various units within the organisation that include training, and direct service delivery (Jhpiego, TBHIV Care and RT-35 projects).

The intern will directly report to the Senior M & E and Quality Assurance Manager.
